This Privacy Statement regulates the processing of personal data by Eurogroup for Animals ASBL, with registered office at 1000 Brussels, Rue Ducale 29, registered in the Business Registration Office under the number BE0862.667.718, e-mail gdpr@eurogroupforanimals.org, URL www.eurogroupforanimals.org, hereinafter referred to as ‘Eurogroup for Animals’.

Unless otherwise stated, Eurogroup for Animals is responsible for the processing of personal data that she collects and to which this Privacy Statement applies.

This privacy statement is drafted in the context of the General Data Protection Regulation of 24 May 2016 with regard to the protection of privacy in the processing of personal data and the Law of 30 July 2018 concerning the protection of natural persons with regard to the processing of personal data, and explains which personal data Eurogroup for Animals collects and how it uses it. Please read this Privacy Statement carefully, as it contains essential information on how your personal data are processed.

Eurogroup for Animals does its utmost to respect your privacy and your rights to control your personal data and to know how they are processed.


1. PERSONAL DATA

As data controller, Eurogroup for Animals processes data that you voluntarily provide in the event of a request for information, a request via the website, within the framework of a cooperation or a membership that is entered into, or by making donations or transferring information that is necessary for the execution of the services and activities provided by Eurogroup for Animals, such as lobbying, communication and coordination.

More specifically, Eurogroup for Animals can process the following personal data, among others: name, e-mail address, address, telephone number, account details. 

In addition, Eurogroup for Animals automatically collects data about the use, access or interaction with her website through cookies and similar technologies (such as Google Analytics), for example to monitor the functioning of the website, or in order to detect fraud and/or security breaches, by means of IP addresses and browser data.

Eurogroup for Animals uses Fix the Status Quo’s platform Proca for digital campaigns, providing us with campaign widgets which we embed on various webpages. Proca collects personal data provided by a supporter through the widget for the purposes of (1) undertaking the digital action (such as sending an email on a supporter’s behalf or adding the supporter’s name to a petition), (2) monitoring the success and spread of our campaign, (3) collecting supporter data for our supporter database.

Finally, Eurogroup for Animals can receive information about you from other sources, including third parties, such as partners with whom it jointly provides services and activities or executes marketing activities. Eurogroup for Animals may also receive information about you from social media (META or Microsoft), for example when you communicate with it on those platforms. Eurogroup for Animals protects the data that it receives from third parties in the same way as described in this Privacy Statement.


2. SECURITY AND STORAGE

Eurogroup for Animals takes the processing of your personal data very seriously and tries to provide the necessary technical and organisational measures to protect your personal data and help prevent theft, misuse and unauthorised access, provision, modification and deletion of your information.

Eurogroup for Animals regularly monitors its systems for possible safety risks and attacks. However, it cannot guarantee the security of data collected. In case of an infringement, it will deal with the issue quickly and thoroughly and the parties involved will be informed. However, Eurogroup for Animals cannot be held liable for any direct, indirect or consequential damage or loss of profits caused by the incorrect or unlawful use of the personal data by a third party.

The collected personal data are stored and processed in Belgium, at the registered office of Eurogroup for Animals, or with external service providers, who are also based in Belgium or Europe. The collected data are only transferred over a secure connection from the website to the server.

Some data is stored and processed by external service providers outside of the European Union. If the data is held by external service providers, with servers outside the European Union, Eurogroup for Animals assumes that an equivalent level of protection to that in the European Union is applied to the processing of this data. To this end, when your personal data is transferred to countries outside the European Economic Area, appropriate safeguards such as the standard contractual clauses with additional safeguards and the adequacy decisions may be used, if necessary.

3. ACCESS AND TRANSFER TO THIRD PARTIES 

In order to process your personal data, Eurogroup for Animals grants access to its employees, appointees, suppliers, subcontractors, partners and agents. However, it guarantees a similar level of protection by making contractual obligations enforceable against these parties which are similar to those contained in this Privacy Statement.

The personal data you provide will not be sold to or shared with third parties, except in the framework of the execution of the agreement, the execution of donations, the services and activities provided by Eurogroup for Animals and/or regarding external suppliers, including practical tools, co-organisers of events or other subcontractors, who perform services for or with Eurogroup for Animals such as providing workshops, campaigns and events, processing of billing or payment data, processing of donation data, website management and hosting, time registration, e-mail communication and overall administration.

However, Eurogroup for Animals will only share your personal data when necessary, such as to provide services and activities that you have authorised, and only with parties acting on its behalf for the purposes described in this Privacy Statement. In that case, your personal data will be shared with these parties, but only for the execution of services and activities on behalf of Eurogroup for Animals.

Finally, and only to the extent that this is required by law or strictly necessary for the performance of the services or for the protection of the rights of Eurogroup for Animals, the rights of third parties or those of its members and partner organisations, Eurogroup for Animals will provide your personal data to law enforcement agencies, research organisations, its affiliates or in court proceedings, including (judicial) reorganisation, bankruptcy or transfer. If necessary and insofar as possible, Eurogroup for Animals will always try to inform you in advance of a potential transfer. 


4. COOKIES

By using the website of Eurogroup for Animals, cookies can be placed on the hard drive of your device.

As a user of the website you will be asked to give your consent for the loading of certain cookies. This can be done via a bar at the bottom or top of the website, with reference to the Cookie Policy of Eurogroup for Animals for more information. The further surfing of the website will not be prevented, but in case of refusal only functional cookies can be placed.

The website of Eurogroup for Animals also uses marketing or advertising plug-ins like META, Microsoft, Twitter, YouTube, Flickr and Google Analytics. By placing these plug-ins your personal data can be collected and transmitted to these third parties. In accordance with Article 26 of the General Data Protection Regulation of 24 May 2016 with regard to the protection of privacy in the processing of personal data and the law, Eurogroup for Animals is the data controller together with these third parties. 5. PROCESSING PURPOSES 

  1. Member management, supplier management, donation and donor management, staff and board member administration and partner management 

The personal data collected by the Eurogroup for Animals in its capacity as data controller are used to provide services and activities, manage and process your request or demand for information or in the context of a contact, a partnership, a membership, a donation (execution, donation, organisation of an event, invoicing, payment,etc.). 

Other personal data is also processed for its membership management, supplier management, management of donations and donors, administration of staff and board members and partner management.

  1. Direct marketing 

Personal data is processed for the purpose of sending you information about Eurogroup for Animals, new services and activities or invitations to events, or in the framework of a donation or a membership. Eurogroup for Animals can also use the data to inform and contact you regarding marketing and advertisements. Depending on the type of communication it may contact you by email, phone, letter and/or its social media channels.

  1. Newsletter, contact with media and contact form website  

If you have given your consent, Eurogroup for Animals may process your personal data for the purposes of sending you a newsletter or sending you press releases. Furthermore, Eurogroup for Animals can also process your data with regards to the contact form on the website, insofar as you have given your consent to that effect.  

  1. Website and cookies 

Moreover, your personal data is also used to guarantee your access to the website and to ensure the correct functionality of the website by having the possibility to inform you about updates, new functionalities, etc.

  1. Security, settlement of disputes and compliance with legislation 

Finally, Eurogroup for Animals wants to offer the necessary security and safety and the data can also be used in the context of settling disputes and to comply with legislation.


6. LEGAL GROUNDS 

The collected personal data are processed on the basis of article 6.1.a (consent), article 6.1.b (necessary for the execution of an agreement) and article 6.1.f (legitimate interests) of the General Data Protection Regulation. For example, to process your request for information, to schedule an appointment, to process your donation, to analyse/improve the services and activities of Eurogroup for Animals and inform you about them or for administrative, fraud investigation or legal purposes.

If your data is processed on the basis of consent, this Privacy Statement and the opt-in system used ensure that you can give your consent freely, explicitly, unambiguously, actively and informed.


7. DATA STORAGE PERIOD 

Depending on the processing purpose, the personal data processed in its capacity as controller will be stored for as long as necessary, in order to be able, among other things, to comply with legal and accounting requirements. After this period, Eurogroup for Animals will irrevocably erase the data.

The data processed for the purpose of direct marketing or obtained through the website will be stored for a maximum of two years. 


8. RIGHT AND COMPLAINTS OF THE DATA SUBJECT

As a data subject, you are entitled at all times to check the personal data processed by Eurogroup for Animals in its capacity as data controller and you can correct them (or have them corrected) if they are incorrect or incomplete, have the data transferred, have their processing limited or have them removed (in certain circumstances).

Eurogroup for Animals might use data that has been processed exclusively in an automated manner (such as profiling) to run campaigns on social media (META).

Since the processing of the personal data also takes place on the basis of Article 6.1.a (consent), you always have the right to withdraw the consent given. Keep in mind, however, that you will no longer receive relevant information if you do not give consent to process certain personal data.

You can also withdraw your consent for promotional mails and marketing sent to you by email using the link at the bottom of each of the emails that you receive.

9. CHANGES TO PRIVACY STATEMENT

If necessary, Eurogroup for Animals may amend or update this Privacy Statement to reflect changes on the website or in its method of operation. If there are material changes to the way Eurogroup for Animals uses or processes your personal data, it will notify you by posting a notice of the changes four weeks before they come into effect. Eurogroup for Animals encourages you to re-read this statement regularly for more information on how Eurogroup for Animals uses and protects your information.
